Privacy Policy

This Privacy Policy explains how Fleet Portal LLC, a Nevada limited liability company (“Fleet Portal,” “we,” “us,” or “our”), collects, uses, shares, and protects information when you visit our website, request a demo, or use the Fleet Portal platform (together, the “Service”). The Service is built for business use by shops and fleet operators; it is not directed to consumers. By using the Service, you agree to this policy.

Information we collect

Information you provide

  • Inquiry and demo requests. When you contact us or request a demo, we collect the details you submit, such as your name, work email, company, phone number, fleet size, and message.
  • Account information. When an account is created for you, we collect sign-in details such as your name, work email, role, and authentication credentials.
  • Billing information. Payments are processed by our payment provider (Stripe). We receive transaction records and billing contact details, but full payment card numbers are handled by Stripe and never stored on our systems.
  • Operational data. Data you and your users enter into the platform, such as service requests, vehicles, work orders, invoices, inventory, and customer records (“Customer Data”).
  • Communications. Records of support requests, emails, and other correspondence with us.

Information collected automatically

  • Log and device data. IP address, browser and device information, pages visited, and timestamps, collected to operate, secure, and troubleshoot the Service.
  • Cookies. We use only essential cookies, such as sign-in session cookies and access-control cookies needed for the Service to function. We do not use advertising cookies or third-party advertising trackers.

How we use information

  • To provide, maintain, secure, and improve the Service.
  • To set up accounts, process payments, and provide support under OS Management coverage.
  • To respond to inquiries and demo requests and to communicate about the Service, your account, and updates.
  • To detect, prevent, and respond to fraud, abuse, and security incidents.
  • To comply with legal obligations and enforce our terms.
  • To produce aggregated or de-identified statistics that do not identify you or any individual.

Customer Data and your shop’s customers

Operational data you enter into the platform is yours. We process Customer Data on your behalf and on your instructions to provide the Service, acting as a service provider. If Customer Data includes personal information about your own customers, employees, or other individuals, you are responsible for having the rights and providing any notices required to submit that information, and for responding to privacy requests from those individuals. If an individual contacts us directly about data held in your account, we will direct them to you.

How we share information

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share information only with:

  • Service providers that help us run the Service, such as cloud hosting and database infrastructure (Vercel, Supabase) and payment processing (Stripe), under terms that restrict their use of the information;
  • Legal and safety recipients, where disclosure is required by law, legal process, or to protect the rights, safety, or property of Fleet Portal, our customers, or others; and
  • Business transfer parties, in connection with a merger, acquisition, financing, or sale of assets, in which case this policy continues to apply to the transferred information.

Security

We use industry-standard safeguards, including access controls, encryption in transit, row-level data isolation, and audit logging. No method of transmission or storage is completely secure, and we cannot guarantee absolute security, but protecting customer data is core to how the product is built. If we become aware of a breach affecting your personal information, we will notify you as required by applicable law.

Data retention

We retain personal information for as long as your account is active or as needed to provide the Service, resolve disputes, and meet legal, accounting, and security requirements, after which we delete or de-identify it. Customer Data export is available, and post-termination handling of Customer Data is described in our Terms of Service. Inquiry and lead information is retained as long as needed for sales and follow-up purposes.

Your privacy rights

Depending on where you live, you may have rights under state privacy laws, such as the right to know what personal information we hold about you, to access or receive a copy of it, to correct it, to delete it, and to not be discriminated against for exercising those rights. To make a request, email us at the address below; we will verify your identity and respond as required by applicable law. Because we do not sell personal information or use it for targeted advertising, there is nothing to opt out of, and we treat Global Privacy Control signals accordingly.

Data location

We are based in the United States and process and store information on infrastructure located in the United States. If you access the Service from elsewhere, you understand that your information will be transferred to and processed in the United States.

Children

The Service is a business tool and is not directed to children. We do not knowingly collect personal information directly from anyone under 18 through our website or sales process. If you believe someone under 18 has provided information directly to us, contact us and we will delete it.

Shops and other customers using the platform may employ workers aged 16 or 17 and may enter their information into the system as users or staff records. The employer, not Fleet Portal, is responsible for that information, including any consent or notice required to add it. If a minor, or their parent or guardian, contacts us about information held in a customer’s account, we will take reasonable steps, working with the employer where appropriate, to remove the minor’s personal information from the system.

Changes to this policy

We may update this policy from time to time. The updated version will be posted on this page with a new “Last updated” date, and material changes will be communicated through the Service or by email where we have one on file. Continued use of the Service after an update constitutes acceptance.
